Production Office Data Entry Clerk

Position Details

  • Compile Production inventory to save and email to sales
  • Print all sales orders and bills of lading if not printed already. File them in the appropriate place:
    • Place all printed PO’s on top of the Pick up list binder which is to the right of the inventory control manager.
    • Frozen orders to Frozen Rack and 1 copy to Inventory Control
    • Extra Service
      • Attach original customer BOL to our original sales order and place in Extra Service slot
      • 1 copy of customer BOL & sales order to Inventory Control
      • Make sure X-Ser. Is billed the day it is completed
    • Fresh Orders
      • Put in slot for correct ship day
    • Reach out to AR for orders on hold
  • Write all sales orders onto the order board
    • Provide copy of frozen orders to Inventory Control Manger
  • Notify sales team of any shortages or cancellations
  • Handle incoming calls from customers and Pier fish Sales team about their orders
    • Offer superior customer service and resolution to questions, concerns, etc.
  • Run Open Order Status Checks at minimum 3 times daily
    • 7AM
    • Before you leave for lunch
    • Before Boston truck leaves (S/R manager)
    • End of day before packers leave (11-3pm)
  • Complete sales order info and fill out bills of lading for all shipments
    • Properly identify product, case count, weight, etc.
    • Enter lot numbers, COO and method of production, temp recorders onto paperwork
  • Correctly enter all Temp recorder information into proper online portal
  • Maintain Innova Production software
    • Enter orders into Innova Packing
    • Assign lot numbers to the right packing stations
    • Print out tally sheets and staple to each random weight order
  • Order consumable packaging for production needs
  • Organize and maintain utility rack in production office
  • End of Day Process
    • Before departing for the day, follow up to ensure paperwork is all set and notify team what is left to be completed
    • Send copies of finished BOL’s to Sunnyside & NWD trucking
  • Properly handle and document small sales at the counter in the production office
  • Weekend work as required
  • Make sure backup and updated on any new SOP’s
  • Will be required to perform other duties as requested, directed or assigned
  • Basic knowledge of the products, production processes and other techniques for maximizing the level of production
  • Ability to communicate clearly via email
  • Ability to work alone and as a member of the team
  • Awareness of sanitation and hygiene procedures and practices
  • Ability to write and read in English required
  • Computer skills, including Microsoft Office Products and SeaSoft
  • Concern for the safety of self and co-workers and a responsible attitude
  • General safety, sanitation and hygiene procedures
  • Product/production processes
  • GMP’s, SSOP’s, SeaSoft, Spreadsheet Data Entry
  • Use of hair net, work boots, and frock is required

The facility is a wet and cold environment.  Loose fitting clothes and jewelry are not permitted.
