Responsibilities
- Order Management
- Accurately enter and process customer orders in a timely manner
- Review of orders for correct pricing, product specifications, and availability
- Coordinate with production and logistics teams to ensure timely and accurate order fulfillment
- Monitor order status and proactively communicate updates, delays, or issues
Sales Support
- Prepare and distribute daily pricing sheets to the sales team
- Assist with quotes, bids, and customer requests
- Maintain accurate and up-to-date customer account information and documentation
- Support sample requests and new item setup processes
Account Coordination
- Serve as a point of contact for customer service inquiries related to orders
- Communicate with customers regarding order updates, delays, and changes
- Works closely with Sales to support account needs
- Maintain and manage key account details, including specifications, packaging, and customer requirements
Internal Coordination
- Collaborate with Production, Procurement, Quality Assurance, and Shipping teams
- Ensure alignment between sales commitments and operational capabilities
- Assist in resolving order discrepancies, service issues, and operational challenges
Data & Reporting
- Maintain accurate records in internal systems (ERP and related platforms)
- Support sales reporting, tracking, and performance metrics
Assist with pricing documentation and margin tracking
Additional Duties
- Perform additional duties as assigned to support Pier Fish Company goals
- Provide administrative support to the sales team as needed
- Assist with process improvements to enhance efficiency and accuracy
- Support special projects and cross-functional initiatives
Skills & Competencies
- Strong organizational and multitasking abilities
- High attention to detail with a focus on accuracy
- Ability to prioritize and perform effectively in a fast-paced, deadline-driven environment
- Strong written and verbal communication skills (internal and external)
- Proficiency in Microsoft Excel and general business systems (ERP experience preferred)
- Problem-solving mindset with the ability to take ownership of tasks and outcomes
- Ability to remain organized and composed under pressure
- Team-oriented with a collaborative, “team-first” approach
Will be required to perform other duties as requested, directed or assigned by Management
Required Qualifications
- Prior experience in sales support, customer service, or administrative role preferred
- Experience in food, seafood, or manufacturing environments strongly preferred
- Demonstrated ability to manage multiple priorities with urgency and accountability
- Familiarity with order processing systems and business operations
Work Environment
- Fast-paced seafood processing and manufacturing environment
- Primarily office-based with regular interaction with production and shipping areas
- Requires frequent communication with cross-functional teams and external customers
- May require extended periods of sitting, computer work, and occasional time on the production floor
