Sales Support Specialist

Salaried position reporting to the President & CEO

The Sales Support Specialist plays a critical role in supporting the sales team by managing administrative, order entry, and cross-functional coordination tasks. This position ensures the smooth execution of daily operations, enabling Sales Representatives to focus on generating new business and growing existing accounts.

Operating within a fast-paced seafood processing environment, this role requires a high level of attention to detail, urgency, organization, and strong communication skills to support both internal teams and external customers.

Position Details

  • Order Management
    • Accurately enter and process customer orders in a timely manner
    • Review of orders for correct pricing, product specifications, and availability
    • Coordinate with production and logistics teams to ensure timely and accurate order fulfillment
    • Monitor order status and proactively communicate updates, delays, or issues

    Sales Support

    • Prepare and distribute daily pricing sheets to the sales team
    • Assist with quotes, bids, and customer requests
    • Maintain accurate and up-to-date customer account information and documentation
    • Support sample requests and new item setup processes

    Account Coordination

    • Serve as a point of contact for customer service inquiries related to orders
    • Communicate with customers regarding order updates, delays, and changes
    • Works closely with Sales to support account needs
    • Maintain and manage key account details, including specifications, packaging, and customer requirements

    Internal Coordination

    • Collaborate with Production, Procurement, Quality Assurance, and Shipping teams
    • Ensure alignment between sales commitments and operational capabilities
    • Assist in resolving order discrepancies, service issues, and operational challenges

    Data & Reporting

    • Maintain accurate records in internal systems (ERP and related platforms)
    • Support sales reporting, tracking, and performance metrics

    Assist with pricing documentation and margin tracking

  • Perform additional duties as assigned to support Pier Fish Company goals
  • Provide administrative support to the sales team as needed
  • Assist with process improvements to enhance efficiency and accuracy
  • Support special projects and cross-functional initiatives
  • Strong organizational and multitasking abilities
  • High attention to detail with a focus on accuracy
  • Ability to prioritize and perform effectively in a fast-paced, deadline-driven environment
  • Strong written and verbal communication skills (internal and external)
  • Proficiency in Microsoft Excel and general business systems (ERP experience preferred)
  • Problem-solving mindset with the ability to take ownership of tasks and outcomes
  • Ability to remain organized and composed under pressure
  • Team-oriented with a collaborative, “team-first” approach 

Will be required to perform other duties as requested, directed or assigned by Management

  • Prior experience in sales support, customer service, or administrative role preferred
  • Experience in food, seafood, or manufacturing environments strongly preferred
  • Demonstrated ability to manage multiple priorities with urgency and accountability
  • Familiarity with order processing systems and business operations
  • Fast-paced seafood processing and manufacturing environment
  • Primarily office-based with regular interaction with production and shipping areas
  • Requires frequent communication with cross-functional teams and external customers
  • May require extended periods of sitting, computer work, and occasional time on the production floor
